Booking Instruction (Revised on 1.7.2006)

I. Mission Statement
As a village for youth, we aim at creating space for wholistic training, community building, information interacting and experiencing hospitality for our leaders in 21 century.

II. Types of Application

  1. There are 2 types of booking application:
    A. Camp :
     
    Half day camp/Day camp/Evening camp and Residential camp:
    Rates is calculated according to the plan selected (Plan A / Plan B / Self selection Plan)
    B. Chapel / Auditorium: Rates is calculated according to the venue fee.
      2. The Village only accepts applications from Organizations. For individual application, the applicant should be a Breakthrough Serve Club member, Breakthrough staff or an enrolled volunteer.

III. Date of Submitting the Application

  1. Bookings can be made within 6 months by returning a completed booking form. Late application, if made 7 days in advance, will also be entertained subject to availability of space, with payment to be made immediately upon acceptance.
  2. Selection of successful applications is on first-come-first-serve basis and is decided by the nature of activities. Applicants will be informed within 2 weeks after submitting applications no matter the application is successful or not.

IV. Important Notes

  1. Once application is accepted, applicants are required to make deposit and balance of payment on time.
  2. Once application is accepted, 50% of the total fee will be charged by the Village if cancellation of booking made by formal writing is received 1 month before the camp date. The balance will be refunded. If the notice of cancellation is received less than 1 month before the camp date, all payment will not be refund.
  3. Once application is accepted, request of changing of camp date will be entertained as cancellation. All payment will not be refunded. If advance written notice is received 1 month before the camp date and can be changed to a new camp date successfully, 20% of the total fee will be charged as administration fee, the remaining balance will be transferred to the new booking. Only ONE time of such arrangement is allowed.
  4. Once application is accepted, the amount from any deduction of the number of participants will not be refunded.
  5. Once application is accepted, notice of cancellation should be made by formal writing.
  6. Anyone not belongs to any applied organization or without the Village approval will not be entertained.
  7. Males and females are required to occupy separate rooms, excluding married couple.
  8. The responsible applicant must be over 18 years of age and must stay at the Village together with the group.
  9. Children aged below 10 should be accompanied by parents.

V. Payment
Once application is accepted, a deposit of 50% of the total charges should be made on or before the payment due date shown on the fee note. The balance should be made 1 month before the camp date. Bookings will be considered automatically withdrawn and payment forfeited if payment is not made within the specified time.

VI. Site Visit Service
The Village provides site visit service to interested organizations. Please contact our staff for arrangement.

VII. Arrangement under Typhoon and Rainstorm Warning Signal

  1. If the typhoon signal No. 3 or higher is hoisted, the Village will be shut down for operation. If the Red Rainstorm Warning Signal is hoisted, according to Education and Manpower Bureau, all primary and secondary schools are required to cancel all the activities. This does not affect the Village operation.
  2. If the typhoon signal No. 3 or above is hoisted, for sake of safety, organizations which have checked in are requested to stop all activities and leave the Village as soon as possible. A pro-rata refund will be arranged for the organizations being affected.
  3. If the typhoon signal No. 3 or above / the Black Rainstorm Warning signal is hoisted 2 hours before check-in, all booking on that day will be cancelled. All payment will be refunded. If the accommodation period is over 2 nights, organizations should check-in the following day (i.e. 9 a.m.) once signal(s) is lowered. No refund will be available for the period when the Village is open again.
  4. If the Black Rainstorm Warning is hoisted, for the sake of safety, organizations which have checked in should stay in the Village and stop all outdoor activities until the signal is lowered.

VIII. Other
For the camp regulations, please refer to 'Campers' Regulations".

IX. Obtain of Reservation Form

  1. Written request with self-addressed envelope to "Breakthrough Youth Village, 33 A Kung Kok Shan Road, Shatin".
  2. Service Hotline: 2632 0100 (Mon, Wed - Fri: 9 a.m. - 5:30p.m., Tue: 2 p.m. - 6 p.m. except Sat, Sun and public holidays).
